What Should You Check Before Approving a Custom Flag Sample?

Before approving a custom flag sample, check it against a written specification rather than deciding only whether it looks attractive. Review dimensions, artwork, side appearance, fabric, seams and attachment together. Confirm what the sample represents and whether any part differs from the proposed production order. A useful approval record states exactly what was accepted, what remains to change and which person is authorised to release the final order.

Sample approval should identify the accepted artwork and complete construction.

Confirm the sample identity

Mark the product SKU, artwork version, date and intended specification in the review record. Ask whether the sample uses the actual fabric, print process and finishing proposed for production. A small colour swatch may help assess a colour but cannot demonstrate the full flag's dimensions or attachment. Do not approve the complete order based on a sample that only represents one part of the requirement.

Check artwork at the intended scale

Review the logo proportions, text, spelling, orientation and position relative to hems or sleeves. Look at the reverse and confirm that its appearance matches the proposed side construction. Check the flag at the distance it is intended to be viewed, as well as close up. Keep any approved brand reference available so colour decisions are not made against an unrelated screen image.

Inspect the construction

Measure the finished dimensions and examine hems, corners, joined sections and the header. Check that the attachment matches the pole or stand details in the order. Ask the supplier to explain any finishing feature you cannot identify. A tidy edge is useful evidence of appearance, but it does not establish a certified performance rating or compatibility with hardware that has not been reviewed.

Review colour without promising the impossible

Assess the sample in appropriate, consistent lighting and record the reference used. Ask how acceptable colour variation will be agreed for the project. If a particular test or tolerance is contractually necessary, state it explicitly and request relevant evidence. Neither a vivid sample nor a general printing-process description proves outdoor service life, wash performance or an exact match to every other branded textile.

Issue a clear written decision

List approved features and required corrections, attach photographs where helpful and identify the final artwork version. If a revision affects construction or appearance, agree whether another review is needed. Orient Uniforms FZE can discuss samples as part of a custom flag enquiry; availability, cost, scope and production timing require confirmation. Keep the accepted sample record with the quotation and use it during receiving inspection.

Questions & answers

Can I approve a sample by photograph?

A photograph may help review layout, but it cannot fully show colour, handle, construction or dimensions. Decide what must be inspected physically for your project.

Does sample approval cover later changes?

No. Record changes clearly and have the revised specification or artwork approved before production continues on the altered requirement.
